Finance Assistant

Position: Finance Assistant

Base Location: London

Department: Finance

Reporting to: Cluster Director of Finance

Tasks/Responsibilities:

  • Assist with daily accounting operations, including accounts payable, accounts receivable, income audit, general cashier, and general ledger functions.
  • Verify, process, and record invoices, payments and journal entries accurately and in a timely manner.
  • Process supplier payments and employee reimbursements according to approved procedures.
  • Reconcile bank accounts, supplier statements and balance sheet accounts.
  • Assist with month-end and year-end closing activities, including account reconciliations and preparation of month-end journals.
  • Prepare, maintain and file financial records, reports, and supporting documentation in accordance with company policies and accounting standards.
  • Coordinate with other departments to resolve financial queries.
  • Support internal and external audits by preparing requested documentation.
  • Ensure proper use of hotel accounting systems, property management systems (PMS), and Microsoft Office applications, particularly Excel.
  • Ensure compliance with company policies, financial controls, PCI requirements, VAT regulations and fraud prevention procedures.
  • Perform any other finance-related duties assigned by the Assistant Finance Manager, the Financial Controller, or Hotel Management.

Job Requirements:

  • Previous experience in an accounting or finance role is desirable; experience within the hospitality industry is an advantage.
  • A finance qualification or studying towards AAT (or equivalent) would be advantageous.
  • Proficiency in Microsoft Excel is essential; knowledge of purchasing System (BirchStreet), Opera PMS, and hotel accounting systems (SunSystem or similar) is desirable.
  • Strong attention to detail with a high level of accuracy.
  • Ability to prioritise tasks and consistently meet deadlines.
  • Well-developed organisational and record-keeping skills.
  • Professional communication and interpersonal skills with the ability to work collaboratively across departments.
  • High level of integrity, confidentiality, and ethical conduct.
